Manage Users as a Site Admin

What actions can I execute in my administrator role?

As a Site Admin of your Site, you can manage all the users from the People Section of the Rever platform. Follow the steps below:

  1. Go to the main menu bar and select Settings (engine icon)
  2. Click on "Admin People"



What actions can I execute in my administrator role?

  • Add new users (Manually and Bulk)
  • Find Users and go to their profiles - Tap the bar search
  • Check the user's Status (Joined, Created, Pending, or Deactivated)
  • Give or edit permissions of roles as Coach, Impact Validator, Routine Manager
  • Edit User's account: Name, last name, email, and tags of localization
  • Reset User Passwords - Click on the actions menu
  • Remove users - Click on the actions menu


  • * Meaning of the users' statuses:
    • ​Created - New Users (Not joined Rever yet)
    • Joined - Users already accessed the platform
    • Pending - Password reset
    • Deactivated - Deleted Users



Add Users:



Manually


  1. Tap the main blue button "+"
  2. Select Manually
  3. Set up: Select the attributes of the Users (Localization and Tags/Areas)
  • Site
  • Tags (Areas)
  • Team



Temporary Password:

Any new user added to the platform should have a temporary password that will expire after five days. An automatic email is sent to the user with the link to Rever platform, including the temporary password. Once the user logs in with this password, they should set up a new one to access it.


If the user has no real corporate email should be created with the employee ID (Example: 0000@company.com). As they do not have a real email should be informed by you about the temporary password.


The password you set up will be assigned to all users for their first login,** it expires after five days. **



User Information:

  • First Name
  • Last Name
  • Job Title Optional
  • Employee ID
  • Email
  • Permissions and admin role



You can continue adding more users "+ Add another" with the same tags

  • Add/Send the invitation to join Rever
  • The User will receive a welcome email


Add users In Bulk


Now you can create users from a CSV file by importing and creating them quickly and easily.


How to do it?


  • Tap the main blue button "+"
  • Select In bulk
  • Add multiple users at once, first download the template here. All users you put in the template must belong to a single site, team, and share the same tags.



Set up the users' tags:


Select the tags of the Users (Localization and Tags/Areas):

  • Site
  • Tags (Areas)
  • Team



Temporary Password:

File specifications:

  • The file is in .csv (Only supported format)
  • Download it and open it in the same format (.csv)
  • Columns:
    First Name
    Last Name
    Position
    Email
    Is Coach (Mark X to enable; otherwise leave blank)
    Is Routine Manager (Mark X to enable; otherwise leave blank)
    Is Impact Validator (Mark X to enable; otherwise leave blank)
    Is Site Admin (Mark X to enable; otherwise leave blank) Only available for Organization Admin
    Is Organization Admin (Mark X to enable; otherwise leave blank) Only available for Organization Admin


  • Columns marked with asterisks are required
  • Once filled with the data of all the users to upload, please save it in the same .csv format
  • You can create as many files for different tags or sites as you want


Example


  • Drop or browse the file to upload



  • Need Review: If you are missing something from the file we will let you know where the errors are. You can also edit them from the same view to facilitate the corrections in order to continue uploading them.
    • The below examples are missing the correct emails of the users (public emails are not allowed)
    • Also, I need to set up the temporary passwords for all those new users



  • Ready to upload: All the users that are correctly loaded in the file will be ready in this view so that you can visualize them before proceeding to the final step.



  • Once completed you will be redirected to the same action in case you want to add more files for different sites or tags with more users.



Edit User account:

  1. Locate the person from whom you want to reset the password in the List of users
  2. In the "Actions" section, click on the 3 points menu and select "Edit account"
  3. Start editing the user account: Name, Last name, email, and tags of localization
  4. Click Save.


Note: the email should contain an available domain of your organization.



Reset Password:

  1. Locate the person you want to reset the password for, in the List of users.
  2. In the "Actions" section, click on the 3 points menu to reset the password of the user.
  3. Once you clicked on "Reset Password" you will need to assign a temporary password which will be expired in a period of five days. When the user logs in should change that temporary password with a new one.
  4. Click reset.
  5. A short message will appear regarding the password reset has been completed successfully.
  6. Let the person know to log in again with the same user and then find a way where they can validate their information and choose a new password.



Delete Users:

  1. Locate the person you want to remove from the list of users.
  2. In the "Actions" section, select the Deactivate account option
  3. The User will be permanently deleted. The information captured such as Revs, Challenges, etc. by this User will remain in the platform, but they will no longer have access; you can create the account again as a new process using the same email.



**Reactivate Account **

  1. Locate the person you want to reactivate in the List of users.
  2. In the "Actions" section, select the option: Reactivate account
  3. The User will be reactivated, enabling the access back.



Filter Users
Use the filters to obtain specific results from the list of all the organizations.
If you are a site admin, you can only manage users from your site.



Download the user's report


If you are a Site admin or Organization admin, you can download a report in .xlsx that allows you to obtain all the users of the filters you have selected.

  • Site admin: Can download only the Users from their site
  • Org admin: Can download all the users at the Organization level


How to download the report?


  • Please select the filters of the users you want in the report:
    Countries
    Sites
    Site Groups
    Tags
    Tags Groups
    Status
    _ Permissions _
    Admin Roles
  • Click on the "Export (.xlsx)" button



  • After you click on the export button, you will get a notification in the report list center;
  • Once the report is ready, you can now download it to your computer; click on the download arrow icon button



Report Data available


The report will be available in a .xlsx format with the following information according to the users of the filters you have selected:


  • Account ID
  • Name
  • Email
  • Employee ID
  • Created On
  • Account Status
  • Joined On
  • Site Group
  • Site ID
  • Site
  • Country
  • Tag Groups
  • Tags
  • Admin Role
  • Permissions
  • Teams
